Our Process Simple, Consistent & Documented

Monthly Enrollment Rhythm

We run both open enrollments and new-hire enrollments roughly from the 1st through the 15th of each month. At the start of each window, we ask HR/Owner to let employees know to expect an invitation and reminders by email, text, and/or an outbound call.

Why a signed election matters: It's the actual record of enrollment (or non‐enrollment) that provides proof benefits were offered consistently—reminders help prompt action, but it’s the signed election that counts.

How Employees Enroll

Employees choose one of three paths to complete elections (all options are supported in English & Spanish):

  • Call our call center: 443.461.4015 x6 (business hours) to speak with a benefits counselor.
  • Schedule a time: use our calendar link to pick a convenient slot—perfect if a spouse wants to join. (Spouses can share health coverage decisions, but disability benefits are employee-only and cannot be elected for a spouse.)
  • DIY online: complete elections through the link delivered to their inbox.

Why One-to-One Counseling Works

Personalized benefits counseling helps employees make confident, informed choices and reduces confusion during enrollment.

  • Employees feel more confident and informed. One-to-one meetings are the most helpful way for employees to understand all of their benefits.
  • They better understand their benefits. Employees who receive individual benefits counseling consistently report improved comprehension of their coverage and options.
  • It boosts perceived organizational support. When employees feel their employer cares about helping them make informed decisions, it enhances job satisfaction and loyalty.

By offering personal guidance, we not only simplify the benefits process—we show employees that we and their employer both genuinely care.

Manager & HR Check-ins

Each Friday during the window, we send HR/Owner a list of employees who haven’t finished so you can nudge them. If needed, you can make clear (in your words and policy) that completing elections is a condition of employment—because the choices protect the employee and the company.

After Everyone Finishes

Once completion hits 100%, we process the enrollment. We’ll either provide the payroll deductions to you, or transmit them to a preferred payroll partner and confirm setup.

We do the chasing so you don’t have to (there are always a few “hard-to-reach” folks in every company, so we'll ask for help with them). You’re free from paper shuffling and manual tracking—leaving you time to focus on running the business (or maybe even something more fun).

Ongoing Updates

We’ll send a monthly reminder to report new hires and terminations—unless you’re connected to our system, in which case updates flow automatically.

Your Monthly Task: Bill Review

Please review your carrier bills every month. Some carriers only allow retro changes back to the end of the prior month. While our system may send term notices, it’s not guaranteed to remove every individual perfectly. If you spot someone who should be added/removed, tell us and we’ll follow up right away. You know your roster best—share changes and we’ll handle the rest.
